PPAPD: Creating PPAPD records from FAIRs

The Create PPAPD option in the Form 3 Tools menu allows supplier users to generate a new PPAP Deliverables (PPAPD) record directly from an existing FAIR. Applicable data from the FAIR is automatically copied into the new record, reducing manual re-entry if wanting to start PPAPD documentation from a FAIR.
PPAPD records are defined as a set of PFD, PFMEA, and Control Plan deliverables — with data linked between similar columns — along with a DFMEA whose data is independent from the other three. For a general overview of PPAP Deliverables, see PPAP Deliverables: Info Tab.
Access and Permissions
Only supplier users can use the Create PPAPD function at this time. Customer users do not have access to this option.
To use this feature, a supplier user must have both roles "Update" and "E-first Article Inspector". The specific access control actions controlling this feature are:
- Update a First Article Inspection Report — controls access to editing FAIR records; defaults to E-first Article Inspector role
- Create PPAP Deliverables from a FAIR Record — controls access to this specific function; defaults to users with Update and Publish roles
If you cannot proceed due to an Unauthorized message, contact your setup administrator . To find your setup administrator, see Finding Your Setup Administrator.
Additionally, either your company or the customer listed on the FAIR must have an active PPAP Deliverables subscription. If this message appears, please contact sales@net-inspect.com.
How to Create a PPAPD from a FAIR
- Open the FAIR record and ensure a customer is selected on Form 1 (this is required).
- Navigate to the Form 3 tab.
- Click the Tools button at the top right of the Characteristics table.
- Select Create PPAPD from the dropdown.
- A confirmation modal will appear with the message: "This will generate a new record. Applicable data will be copied into the record." Click CONFIRM to proceed, or CANCEL to exit without creating a record.
- Net-Inspect will generate the new PPAPD record. You will be directed to the new record upon completion.
What Data Is Copied
When a PPAPD is created from a FAIR, the following information is populated on the new record. The DFMEA deliverable is created as a blank In-Work record. The PFD, PFMEA, and Control Plan deliverables are created as In-Work records with the applicable columns populated as described below.
Info Tab
The following fields on the PPAPD Info tab are populated from the FAIR:

PFD, PFMEA, and Control Plan Deliverables
Rows are generated on the PFD, PFMEA, and Control Plan deliverables based on the characteristics recorded on Form 3. The following columns are populated from the corresponding FAIR fields:

Linked FAIR Column
After a PPAPD is created from a FAIR, each applicable deliverable (PFD, PFMEA, and Control Plan) will display a Linked FAIR column in its version history table. This column shows the FAIR record number as a hyperlink (e.g., #1509). Clicking the link opens the source FAIR record in a new browser tab.
The Linked FAIR reference applies to the version generated at the time of creation. If a new version of the deliverable is created later, the Linked FAIR column will not carry over to that new version.
To view the Linked FAIR column, navigate to the deliverable tab on the PPAPD record, click Actions, then click "View Version History". You can also navigate to the version history from the Info tab overview by clicking a status in the Version History column for a deliverable. History
When a PPAPD record is created from a FAIR, a history event is recorded on the new PPAPD record indicating the source FAIR. This event is available on the History tab of the PPAPD record for auditing purposes.
