Requests: Scope

The Scope section allows users to define the specific scope of discrepancies by referencing Purchase Orders, Lot/Batch Numbers, and Serial Numbers. This section also provides an alternative disposition method where disposition decisions can be made at the scope level rather than individually for each discrepancy.
Overview
The Scope section appears within the Discrepancy tab and provides two primary functions:
- Reference Tracking: Document specific PO numbers, lot/batch numbers, and serial numbers affected by discrepancies
- Disposition by Scope: Centralized disposition decisions that apply to all discrepancies when this method is selected
Table Configuration
Reference Checkboxes
Select which reference types are needed for tracking the scope of discrepancies:
- PO #: Purchase Order numbers
- Lot/Batch #: Lot or batch identification numbers
- Serial #: Individual serial numbers
Important: Once any reference ID is selected, entries become required when adding new rows via the "+ ADD" button.
Scope Table Columns
The scope table displays different column combinations based on your reference selections:
Reference ID-Based Columns (Conditional)
PO # (when PO # is selected)
Purchase Order number associated with the scope entry.
PO Line # (when PO # is selected)
Specific line item within the Purchase Order.
Lot/Batch # (when Lot/Batch # is selected)
Lot or batch number for the affected items.
Serial # (when Serial # is selected)
Individual serial number for the affected items.
Disposition by Scope
When "Disposition by Scope" is selected from the Discrepancy tab disposition options, additional disposition columns appear in the scope table:
Discrepant Qty
Required. The quantity of items that are non-conforming within this scope entry.
Disposition
Required. Dropdown selection for the disposition decision (e.g., Accept, Reject, Repair, etc.). Options are configured in the Dispositions setup page.
Disposition Comments
Optional. Free-text field for additional comments related to the disposition decision.
Liability
Optional. Multi-select field indicating responsibility or liability assignment for the non-conformance (supplier, customer, and sub-tier).
Acceptance Type
Optional. Dropdown selection for the type of acceptance decision made for the disposition (Discrete Qty, Discrete PO, Effective Dates, Permanent).
Qty Accepted
Optional. The quantity of items accepted within this scope entry.
Effectivity Duration
Optional. Time-based controls for disposition effectiveness:
- Start Date: When the disposition becomes effective
- Exp Date: When the disposition expires
Managing Scope Entries
Adding Scope Entries
Click the "+ ADD" button to create new scope entries. When reference types are selected, all corresponding fields must be completed before saving the new row.
Required Field Validation
If you have selected reference types (PO #, Lot/Batch #, Serial #), you must complete all selected reference fields when adding new rows. This ensures complete traceability for the scope of discrepancies
Editing Scope Entries
Click directly in any field to modify existing scope entries. Click Save Changes button to save.
Deleting Scope Entries
Click the trash icon (🗑️) to remove scope entries when two or more rows exist in the table. The table must maintain at least one row.
Excel Copy/Paste Integration
The scope table supports copying and pasting data from Excel spreadsheets:
- Column Data: Copying a column of data from Excel will paste as individual entries across multiple rows
- Row Data: Copying a row of data from Excel will paste as a single entry across the columns
- Character Limits: Standard character limits apply to pasted data
Disposition Method Integration
Switching to Disposition by Scope
When switching from "Disposition by Discrepancy" to "Disposition by Scope":
- All disposition fields are removed from individual discrepancies
- Disposition columns are added to the scope table
- This change cannot be undone and saves the record automatically
- A confirmation modal appears warning of this permanent change
Benefits of Disposition by Scope
- Single Disposition Decision: Make one disposition decision that applies to all discrepancies when multiple discrepancies exist on a record
- No Reference Required: Disposition by Scope can be used without selecting any reference types (PO #, Lot/Batch #, Serial #)
- Lot/Batch Tracking: When references are used, disposition decisions can be made against specific PO numbers, serial numbers, or lot/batch numbers
- Simplified Workflow: Reduces repetitive disposition entries when multiple discrepancies have the same resolution
Switching Back to Disposition by Discrepancy
To revert from "Disposition by Scope" back to "Disposition by Discrepancy":
- Change the disposition toggle on any individual discrepancy back to "Disposition by Discrepancy"
- Warning: This will remove all disposition columns and their data from the scope table permanently
- This change cannot be undone, so ensure disposition data is documented elsewhere if needed
Access Permissions
Supplier Users:
- Can add and edit scope entries and reference information
- Cannot edit disposition-related fields (when Disposition by Scope is active)
Customer Users:
- Full access to all scope fields including reference tracking
- Can edit disposition fields when request status is "Pending Review" or "In Review"
- Can switch between disposition methods
