Reuse Library: Create from Copy
Reuse Library Training Materials can be found here.
When creating a Reuse Library record, you can choose to create from blank, from importing an Excel file, or copying an existing record. This article covers the option to create from copy. Reuse Library records are defined as a set of PFD-PFMEA-CP with their data linked between similar columns as well as a DFMEA whose data is unlinked from the other three deliverables. Typically, these contain process "segments" or combinations of segments (or other libraries) which can be used to generate "commodity templates". Other terms and uses are possible as well.
Copying Reuse Library records will copy the following information:
- All Info tab data except Reuse Library Name but including the Key Contacts table
- The contents of the latest version:release stage of each deliverable
- The only meta data retained here will be the jurisdiction and classification unless relevant information on the copy page is modified
Reuse Library records can be copied in two ways: Create Copy or Copy button on record.
Copy button on record
In the top left of a Reuse Library record, click the copy button.
This will direct you to the Create Copy page with information automatically populated.
Create Copy
Reuse Library records can be created by clicking the "Create Library" button found by navigating to APQP >> Reuse Library.
You'll be directed to the create page. The default selection on this page is "Create New". Select the option "Create Copy". The page can be toggled between the New and Import options without data loss (except for attached Excel files).
Select a Record to Copy
Here you can search for a Reuse Library record to copy by either entering the library name or by searching for a record ID. For example, typing "#1010" will find the Reuse Library record #1010 but typing "Linkage Test" will find any record which contains that information (if there are multiple).
The drop down displays the following information:
Library Name (#XXXX) | [Divisions] | [Manufacturing Location]
Note, if you wish to instead copy a PPAPD record to a Reuse Library record, simply select "Part" under "Search By" to change the dropdown search criteria. This will impact the information presented on the screen.
Once a record is selected, the page will load with the following information: Programs, Divisions (if applicable), and Manufacturing Location. At this point, these fields can be modified to create a more unique record for a new part number, for example.
Each deliverable will display hyperlinks to the latest version:release stage of each deliverable. The contents of each is the information that will be copied. Clicking these hyperlinks will open a new browser tab to view each deliverable. More information on that deliverable can be found by clicking the Actions dropdown >> View Version History. Then search for the appropriate version in the table.
New Record Type
By default, copied Reuse Library records will generate new Reuse Library records. However, if you wish to generate a PPAPD record from a Reuse Library record, simply change the "New Record Type" to "Part". This will impact the information presented on the screen.
Parent or Child
When copying a Reuse Library record, the new record can be marked as a "Parent" or a "Child" record. Records by default are parent records. Child records are can only be generated by copying parent records. The parent record automatically becomes a linked library within the child. When the parent deliverables are published, the child will receive notifications to acknowledge changes. The primary benefit of this method is to allow the parent record to filter out changes from other libraries to only what is pertinent to its family of records.
When all information is entered, click the Copy button. You will be directed to a new Reuse Library record with the copied information and all deliverables set to an In-Work status. The history tab will create an event stating this record was copied from record #XXX for auditing purposes. This record is unique and will be modified independently of the source record.
