PPAPD/ Reuse Library: Importing on a Deliverable Inside a Record
Training Materials can be found here.
Net-Inspect provides an excel template that must be used to import data into PPAPD and Reuse Library records. Both record types use the same import file. When transferring data to the excel file, please copy and paste as values (ALT +E+S+V or right click and paste as values) to ensure proper data formatting. The first row below the header of the import template details the formatting requirements/restrictions (you do not need to delete this to import). Be sure to use the most recent template as changes may have been made that may impact your ability to import.
Data imported via the deliverable tab will update values already entered on the spreadsheet. There is potential to overwrite the data and make changes to other deliverables. This is done through changes to the "Shared Columns". Review the deliverable tab articles to understand this concept in more detail. Shared columns are indicated in the header comment text and are considered columns that exist on more than one deliverable.
How to import on a deliverable tab
To import via Excel on each deliverable tab, click the "Actions" button and either "Import" or "Export as Excel".
The "Import" function will open a modal. This allows you to download the template or drag and drop a file. If any data already exists in the tab, this data will be downloaded with the template for easy modification and reimport.
If the "Export as Excel" option is selected, an Excel file will automatically download. It is formatted to be imported via the method described above. If any data already exists in the tab, this data will be downloaded with the template for easy modification and reimport.
Note: there are special behaviors for the Requirements columns that can be useful when importing. Please review that information here.
Excel Import Validation Errors
When importing via Excel into Net-Inspect, validation errors may occur such as the ones displayed below.
PFMEA:7 - this example is telling you the deliverable "PFMEA" and row #7 contain the error. Following that "Linkage Indicator" or "Process Step" indicate the columns.
We will identify errors for the following reasons:
- Document type is not valid
- Character limits are reached
- Date formats are incorrect
- Cell type is incorrect. All text columns are of cell type "General" or "Text". Numerical columns are "General" cell types but use a drop down
- Linkage indicator columns are blank (the columns "PFD", "PFMEA", "Control Plan")
All errors will include the specific row # and column name in the error message which allows you to pinpoint the exact cell causing the errors. All errors must be resolved in the excel spreadsheet and can then be reselected for import from the create page.
We have cell character limitations imbedded in the excel file but they do not work if data is pasted over a cell: only if data is entered in the cell while it is "open".
Validation errors
| Validation Error | Cause | Resolution |
| [Column Name] Linkage Indicator is required | The PFD, PFMEA, or Control Plan column is blank | Add TRUE or FALSE to the cell. These can be typed, copy and pasted, or selected from the drop down |
| The uploaded file does not match the format of a Net-Inspect import template. Please restore the template's original format or download a new template above and try again. | Excel file used is not the template provided | Download the excel template provided by Net-Inspect. Always use the latest version |
| Excel file tab name was changed (the identifier at the bottom of the excel view) | Download the excel template provided by Net-Inspect. Always use the latest version and do not change the worksheet name | |
| [Column Name] exceeds max length of X characters | The number of characters (including spaces) exceeds the limit of the cell | Reference the 6th row in the template to see the specific column character limits and modify the cell accordingly (taking spaces and newlines into consideration) |
| [Column Name] must be numeric | Some columns are required to select either from the drop down or must contain an integer | Enter an integer or select from the drop down for specific columns. These columns are Process Step and SEV/OCC/DET/RPN. |
| Target Date must be datetime | Datetime format on the cell is incorrect or the cell type is not datetime | Date columns match MM/DD/YYYY regardless of Net-Inspect account setting or local preference |
| We were unable to process this request. | A file other than an excel file was selected for import | Use the required excel template |
| System update is simultaneously occurring | Please refresh and try again | |
| Another issue is happening | Please contact helpdesk here | |
| The file being imported is open | Close the import file and try again | |
| Only one Excel template may be imported. Please review the selected files list | More than one file was selected for import | Remove files until only one template remains |
| Only 1 True value can be selected between columns: Administration, Packaging Interaction, Lift, Load and Install, Fabrication and Transformation, Move, Store, Inspect and Rework | The process step "category" (symbol) columns for a given row contains more than one true statement | Ensure each row only contains one true statement for these columns. The other columns can state false or be left blank |
|
Row is not linked to any deliverable. At least 1 linkage indicator should be set to true |
Columns PFD, PFMEA, and Control Plan linkage indicator columns are all blank | Row must be associated with at least one deliverable. Select or enter TRUE for one or more of the three columns |
[Column Name] column(s) are part of a row group and contain unique value(s). Please update all rows in a row group to the same value for that column. |
The specified row is part of a row group which means one or more of the shared/ linked columns are the same as one or more rows. | All values in one or more linked columns for a row group must be the same to import. If you wish to make them different, please remove the changes and update via the online form instead. |
